Privacy Policy

1. Who we are

This website is operated by ZHUHAI KOI TECHNOLOGY CO.,LTD, Building 2, No. 7 Pingxi 1st Road, Xiangzhou District, Zhuhai, Guangdong, China ("we", "us"). You can contact us about privacy at kooi.steve.yu@gmail.com.

2. Information we collect

When you send us an inquiry (RFQ). We collect the details you enter: your name, company name, country or region, business type, email address, WhatsApp number, target market, your message, your preferred contact method, and the products and quantities you list. If you attach a file, we also store that file and its name, type and size. We record which page of the site you used to start the inquiry, and the date and time of your inquiry.

Favorites and your inquiry list. The full lists are saved in your own browser. We receive their contents only when you submit an inquiry or create a share link. If you accept Google Analytics, actions such as adding or removing a favorite or an inquiry item may also be recorded, together with the product identifier (the product's name in its web address) and the part of the site where you did it.

Share links. If you create a share link for your favorites, we store the list of products you shared and a random link code. A share link does not expire automatically. It stays available until we remove it, and you can ask us to remove it at any time.

WhatsApp. The WhatsApp buttons on this site open WhatsApp using a link and may pre-fill a message. We do not receive your chat through this site. Your use of WhatsApp is governed by WhatsApp's own terms and privacy policy.

Product finder. If you use the product finder, the text you type is sent to an AI model, accessed through Vercel AI Gateway, so that it can be matched to products. Please do not enter personal information.

Page views. We always use Vercel Web Analytics to count page views and visits in aggregate. This does not depend on your Google Analytics choice (see section 8). Our server also counts how many inquiries are submitted, with the page it started from and the number of products, but without personal details.

3. Why we use it

• To reply to your inquiry, prepare quotes and follow up.
• To send you an automatic confirmation email and notify our sales team.
• To protect the site and prevent spam or abuse.
• To count page views and visits in aggregate with Vercel Web Analytics.
• To understand in more detail how the site is used with Google Analytics 4, only if you accept Google Analytics.

Where GDPR or UK GDPR applies, we handle inquiry details to respond to your request and for our legitimate interest in running our business, and we use Google Analytics 4 only with your consent.

4. Who we share it with

We use these providers to run the site. Each provider's own terms and privacy policy also apply to what it does.

• Supabase: database that stores inquiries.
• Cloudflare R2: storage for attachments you upload.
• Resend: sends the confirmation email to you and the notification email to our team.
• Vercel: hosts the website, provides Web Analytics (page views) and AI Gateway (product finder).
• Google Analytics 4: only if you accept Google Analytics (see section 8).

Staff with the required permission can view inquiries in a protected admin area. We do not sell your personal information.

5. International transfers

We are based in China, and our providers may process information in other countries, including the countries where their servers are located. If you contact us from outside China, your information will be transferred to and processed in countries that may have different data protection rules from your own. 6. How long we keep it

Retention target. We aim to keep the details of an inquiry that does not lead to an order for up to 8 years, counted from the date we received the inquiry.

How deletion works. Inquiries are not deleted automatically. Authorised senior staff delete an inquiry in our admin area: they first move it to a trash folder and then delete it permanently. Permanent deletion removes, from our main system, the inquiry record, the product lines and status history linked to it, and the attachment file we store for it. The attachment is removed first; if that step fails, the inquiry stays in the trash and the deletion has to be tried again.

What permanent deletion does not cover. It does not reach emails that have already been sent, such as the confirmation email to you and the notification email to our team, or copies held elsewhere, for example by our providers. We do not promise that every such copy is removed at the same time.

Earlier deletion. You can ask us at any time to delete your inquiry by writing to kooi.steve.yu@gmail.com. We will review your request and delete the inquiry from our admin system unless we need to keep it to meet a legal obligation.

Details of inquiries that lead to an order may need to be kept longer, for example for accounting or legal reasons.

7. Your choices and rights

Depending on where you live, you may have the right to ask us to access, correct, delete or export your personal information, to object to or restrict certain processing, and to withdraw consent where we rely on it. To exercise these rights, contact kooi.steve.yu@gmail.com. You may also complain to your local data protection authority.

8. Cookies and analytics

Page-view statistics (Vercel Web Analytics). This is always on and is not controlled by the Google Analytics banner. According to Vercel, it does not use third-party cookies and identifies visitors by a hash created from the incoming request, which is discarded after 24 hours. It records aggregated data points such as the time, page address, referrer, approximate location, device type, operating system and browser. Declining Google Analytics does not switch it off.

Google Analytics 4 (only if you accept). If you accept Google Analytics, we load Google Analytics 4 to understand in more detail how visitors use the site, for example which pages and products are viewed, how visitors reach us and which contact buttons are used. Google Analytics sets cookies and receives information such as your IP address, device and browser information and the pages you view. We do not use it for advertising. We do not send your name, email address, phone number, WhatsApp number or inquiry text to Google Analytics, and page addresses are cleaned so that private share-link codes are not sent.

If you choose "Decline Google Analytics", Google Analytics is not loaded. You can change your choice at any time with the "Google Analytics settings" link in the footer. If you withdraw consent, we stop loading Google Analytics and sending it new data from that point, and we remove the Google Analytics cookies that this site is able to remove. Withdrawing does not delete data that was already sent to Google.

Google processes this data under its own terms and privacy policy.

Other storage. We save your analytics choice in your browser so we do not ask you again on every page. This record is not used for analytics. Your favorites and inquiry list are also saved in your browser. Our admin area uses a sign-in session cookie that only our staff receive.

This site is for business use and is not directed to children.

10. Changes

We may update this page. The "Last updated" date shows the latest version.
